How to Manually Import Shopify Orders

S
Written by ShipTop

Orders from a connected Shopify or Shopify Plus store are normally imported into the Client Portal automatically. However, there may be situations where you need to manually import a specific order, such as an older unfulfilled order or an order that did not sync automatically.

When a Shopify store is first connected, the integration typically imports approximately the previous three weeks of orders. Older orders that still require fulfillment may need to be imported manually.

When to Manually Import an Order

You may need to manually import a Shopify order when:

  • An older unfulfilled order needs to be fulfilled by ShipTop

  • An order was created before your Shopify integration was connected

  • A specific order did not sync automatically

  • You need to re-pull an order from Shopify for troubleshooting

Step 1: Find the Shopify Order ID

In your Shopify Admin:

  1. Go to Orders

  2. Open the order you want to import

  3. Locate the Order ID at the end of the order's URL

The Order ID is the numerical value at the end of the Shopify order URL.

Important: The Shopify Order ID is different from the customer-facing order number (for example, #7217580540057). Make sure you use the ID found in the URL.

Step 2: Navigate to Your Shopify Integration

In the Client Portal:

  1. Go to My Account → Stores

  2. Locate your connected Shopify store

  3. Click Download Orders

Step 3: Import the Order

  1. Enter the Shopify Order ID

  2. Click Download

The system will retrieve the order directly from Shopify and import it into the Client Portal.

  • The Shopify order number is different than the Shopify Order ID (approximately 15 digits).

  • You can download multiple orders by adding the ids separated by comma.

Step 4: Confirm the Order Imported Successfully

Once downloaded:

  1. Go to Orders → Manage Orders

  2. Search for the Shopify order number

  3. Open the order and confirm the order details are correct

Review the shipping address, products, quantities, shipping method, and order status before allowing the order to proceed to fulfillment.

Troubleshooting a Missing Shopify Order

If the order does not import, check the order in Shopify before trying again.

Payment Status

Depending on your Shopify integration settings, your account may be configured to only import paid orders. If this setting is enabled, unpaid orders will not import.

Draft Orders

Orders that remain in Draft status in Shopify will not import. The draft must first be converted into an order.

Shopify Location

If your account is configured to import orders only from specific Shopify locations, confirm that the order is assigned to a location connected to ShipTop. If the order still does not import after checking the above, contact the ShipTop Support team for assistance.

Important Notes

  • New Shopify orders should normally import automatically and do not need to be downloaded manually.

  • Use the Shopify Order ID from the order URL, not the customer-facing order number.

  • Manually downloading an order is primarily intended for older or missing orders.

  • Before manually importing an older order, confirm that it is still unfulfilled and should be fulfilled by ShipTop to avoid duplicate shipments.

If you need to import a large number of historical orders, contact the ShipTop team before importing them individually.
